Privacy Policy

Statement of Commitment
Teacher Study Hall, LLC (TSH) collects, uses, and safeguards personal information in connection with its educator preparation programming. This Privacy Policy describes what information TSH collects, how the information is used, with whom it is shared, how it is protected, how long it is retained, and the rights individuals have with respect to their own information.
TSH is committed to handling personal information in a manner consistent with the Family Educational Rights and Privacy Act (FERPA) where applicable, the Texas Business and Commerce Code Chapter 521 (identity theft protection), the Texas Education Code provisions governing educator preparation records, and the privacy expectations that candidates and program stakeholders reasonably hold.
Scope
This policy applies to personal information TSH collects from and about applicants for admission, enrolled candidates, program alumni, cooperating teachers and district partners engaged in field-based experience, visitors to TSH websites, subscribers to TSH communications, and any other individual whose personal information TSH holds in connection with program operations.
This policy governs personal information TSH collects directly and personal information collected on TSH's behalf by third-party platforms TSH uses to deliver programming (identified in "Third-Party Platforms" below).
Information TSH Collects
From applicants and enrolled candidates. Full legal name, preferred name, contact information (email address, mailing address, telephone number), date of birth, government-issued identifiers required for TEA certification recommendation (Texas Education Agency ID once assigned, Social Security Number where required by state certification processes), educational history (transcripts, prior degrees, prior credentials), employment history relevant to certification eligibility, admission prerequisite training certificates (TBSI, TEA-approved Youth Suicide Awareness Training, TEA Learn Dyslexia Training), payment information for tuition transactions, and any information the candidate voluntarily provides in artifacts, reflections, cohort communications, or correspondence with program personnel.
In connection with field-based experience. Placement site information (district, campus, cooperating teacher name and contact), FBE hour logs, cooperating teacher evaluations and observations of the candidate, program supervisor observations and coaching notes, and any documentation of placement-related concerns or accommodations.
From candidates who request accommodations. Disability documentation submitted under the TSH Accessibility Policy, the nature of the requested accommodation, and the accommodation decision and duration. This information is treated under the confidentiality provisions of the Accessibility Policy in addition to this Privacy Policy.
From website visitors and communications subscribers. Email address (when voluntarily submitted for newsletters, inquiries, or lead capture), browser and device information (IP address, browser type, device type, referring URL, pages visited, timestamps), and any information the visitor voluntarily submits through contact forms.
From cooperating teachers and district partners. Name, professional contact information, campus and district affiliation, credentials relevant to serving as a cooperating teacher, and any communications with TSH concerning candidate placements.
Automatically through third-party platforms. Third-party platforms TSH uses (identified below) collect additional information under their own privacy policies as a function of platform operation.
How TSH Uses Personal Information
TSH uses personal information to:
- Evaluate applications for admission and communicate admission decisions
- Deliver course content, coordinate field-based experience, and maintain candidate progression records
- Recommend eligible candidates to the Texas Education Agency for certification
- Process tuition payments and maintain financial records required by law
- Communicate with candidates about their coursework, deadlines, program requirements, and program updates
- Coordinate accommodations under the TSH Accessibility Policy
- Respond to inquiries from prospective candidates, current candidates, cooperating teachers, district partners, TEA reviewers, and other stakeholders
- Maintain program records required by 19 TAC §228 and other applicable Texas Administrative Code provisions
- Improve program operations, curriculum, and candidate support based on aggregated data
- Comply with legal, regulatory, tax, and accounting obligations
- Defend against claims, respond to subpoenas or lawful government requests, and enforce program policies
TSH does not use personal information for advertising to third parties, does not sell personal information, and does not permit third-party advertising networks to collect personal information about candidates through TSH platforms.
When TSH Shares Personal Information
TSH shares personal information only in the circumstances described below.
With the Texas Education Agency and the State Board for Educator Certification. TSH is required by 19 TAC Chapter 228 and Chapter 230 to report candidate progression, program completion, and certification recommendation data to TEA and SBEC. This reporting is a condition of operating as an Educator Preparation Program in Texas and cannot be opted out of by candidates who wish to pursue Texas certification through TSH.
With cooperating school districts and campus personnel involved in field-based experience. Candidate name, cohort, program supervisor contact, accommodation information relevant to the placement (with candidate consent for the specific placement), and coursework progression data necessary for placement coordination.
With third-party service providers acting on TSH's behalf. Vendors that provide platform services, payment processing, communication tools, accounting services, or other operational support. These vendors receive only the information necessary to perform their function and are bound by contract or by their own published privacy commitments to protect the information they receive.
With professional advisors. Legal counsel, accountants, insurers, and similar professional advisors when disclosure is reasonably necessary to obtain their professional services.
In response to legal process. Subpoenas, court orders, administrative or governmental orders, and other requirements of law, including lawful requests from law enforcement.
With candidate consent. Any other sharing occurs only with the candidate's written consent.
In connection with a business transition. In the event of a merger, acquisition, sale of assets, or program transfer to another sponsoring entity, personal information may be transferred as part of the transaction. TSH will provide notice to affected candidates before any such transfer completes.
TSH does not sell personal information. TSH does not share personal information with third parties for their direct marketing purposes.
Third-Party Platforms
TSH delivers programming and operates through the following third-party platforms. Each platform maintains its own privacy policy that governs the information the platform collects and processes.

- Dropbox (candidate-elected Portfolio storage option): https://www.dropbox.com/privacy
- Loom, Screencastify, and Zoom (candidate-elected video recording options): each vendor's privacy policy applies to the tool the candidate elects
- Apple iCloud (candidate-elected Portfolio storage option): https://www.apple.com/legal/privacy/
Candidates who elect an optional platform (Portfolio storage choice, video recording tool choice) agree to that platform's privacy terms as a function of that election. TSH reviews the privacy posture of each supported platform before adding it to the supported list and reviews annually.
Where TSH has executed a Data Processing Agreement or comparable data protection agreement with a vendor, that agreement supplements the vendor's public privacy policy. Current agreements are maintained by the Program Director and available for review by candidates on written request.
How TSH Protects Personal Information
TSH takes reasonable administrative, technical, and physical safeguards to protect personal information against loss, misuse, and unauthorized access, disclosure, alteration, or destruction. Safeguards include:
- Access controls limiting personal information to program personnel with a legitimate need
- Password protection and multi-factor authentication on TSH-controlled accounts holding candidate information
- Encryption in transit for information transmitted over TSH-controlled platforms
- Reliance on vendors with credible security postures (SOC 2, ISO 27001, or comparable third-party attestations)
- Confidentiality obligations on all program personnel with access to candidate information
- Prompt investigation of any suspected unauthorized access or disclosure
No security program is absolute. Where TSH becomes aware of a breach involving Texas residents' sensitive personal information, TSH complies with the notification requirements of Texas Business and Commerce Code §521.053.
How Long TSH Retains Personal Information
TSH retains personal information for the period necessary to accomplish the purpose for which it was collected, to comply with legal and regulatory obligations, and to defend against potential claims.
General retention periods:
- Admission and enrollment records: seven years after program completion or last activity
- Candidate progression, coursework, and Portfolio records: seven years after program completion or last activity, consistent with TEA record retention expectations for EPPs
- Certification recommendation records: retained per TEA requirements applicable to EPPs
- Financial and tax records: seven years, consistent with IRS record retention requirements
- Accommodation records: duration of program enrollment plus seven years, as stated in the Accessibility Policy
- Website visitor information: as long as necessary to serve the purpose for which it was collected, typically not exceeding twenty-four months for analytics data
- Communications subscriber information: until the subscriber unsubscribes, plus a reasonable period to honor the unsubscribe request
Where retention is subject to a legal hold, records are retained for the duration of the hold regardless of the general period.
At the end of the applicable retention period, personal information is deleted or de-identified.
Candidate and Applicant Rights
Candidates and applicants have the following rights with respect to their own personal information held by TSH:
Access. Request a copy of the personal information TSH holds about the candidate.
Correction. Request correction of inaccurate or incomplete personal information.
Deletion. Request deletion of personal information TSH no longer needs to retain, subject to the retention periods above and to legal, regulatory, and program-completion obligations. Deletion requests that would compromise TSH's ability to complete certification recommendation or comply with TEA reporting cannot be honored while the candidate is actively pursuing certification through TSH.
Portability. Request a copy of personal information the candidate has provided to TSH in a machine-readable format.
Withdrawal of consent. Where TSH is processing personal information based on consent, withdraw that consent.
Complaint. File a complaint with TSH concerning TSH's handling of personal information. Complaints unresolved through TSH's internal process may be escalated to the Texas Attorney General's Consumer Protection Division.
To exercise these rights, contact admin@teacherstudyhall.com with a description of the request. TSH responds to verified rights requests within forty-five days of receipt, or notifies the requester of a good-faith reason for extension. TSH may require identity verification before releasing personal information in response to a rights request.
Children Under 18
TSH programming is designed for adult candidates pursuing Texas educator certification. TSH does not knowingly collect personal information from individuals under 18 through program enrollment. Candidate-facing artifacts may reference redacted student information from candidate field placements; that information is not "collected by TSH" for purposes of children's privacy law, but candidates are required by the Course Policies to redact personally identifying information from student references in submitted work.
Cooperating teachers, program supervisors, and other adult stakeholders providing information to TSH about their work with K–12 students are responsible for handling that student information in accordance with FERPA and district data-sharing agreements.
Cookies and Website Tracking
TSH's website and Kajabi-hosted course platform use cookies and similar tracking technologies to operate the platforms, remember candidate login sessions, analyze website usage, and improve program operations. Candidates and website visitors may control cookie preferences through their browser settings. Disabling cookies may limit the functionality of the course platform.
TSH does not use third-party advertising cookies to target advertising to candidates or website visitors based on their program engagement.
Kajabi maintains its own cookie notice governing cookies set on Kajabi-hosted pages. Visitors interacting with Kajabi-hosted content are governed by Kajabi's cookie notice in addition to this policy.
FERPA Considerations
Where TSH holds education records on candidates enrolled in its programs, TSH treats those records with the discretion FERPA principles require, whether or not FERPA formally applies to TSH as a private EPP. Candidates have the right to inspect and review their own education records held by TSH, to request correction of inaccuracies, and to consent to disclosure of records to third parties beyond the disclosures identified in this policy.
International Users
TSH programming is designed for individuals pursuing Texas educator certification. TSH does not intend to collect personal information from individuals in the European Economic Area, the United Kingdom, or other jurisdictions with cross-border data transfer restrictions. Individuals accessing TSH platforms from those jurisdictions do so understanding that their information will be processed in the United States.
Non-Retaliation
TSH does not retaliate against any individual who exercises a right under this policy, files a complaint about TSH's privacy practices, or reports a suspected privacy incident.
Changes to This Policy
TSH reviews this policy annually and updates it as needed to reflect changes in program operations, third-party platforms, applicable law, or program practice. Material changes are communicated to currently enrolled candidates by email before taking effect. The current version of this policy is available at all times through the TSH website and in the Resources section of every TSH course.
